Welcome to Red Planet Adventures Incorporation! These Terms and Conditions outline the rules and regulations for the use of our website and services. By accessing or using our website, you agree to be bound by these terms. If you do not agree with any part of these terms, please do not use our website or services.
All bookings are made with Red Planet Adventures Incorporation (referred to as “Red Planet Adventures”, “we”, “our”, or “us”). By purchasing any product or booking any trip with us, you acknowledge that you have read, understood, and agree to these terms and conditions and any other policies in effect. These terms constitute the entire agreement between you, the trip participant (“participant,” “traveler,” “you,” or “I”) and Red Planet Adventures regarding any bookings, trips, or transactions made with us. If you confirm a booking on any Red Planet Adventures trip or product with more than one traveler named, you accept these terms on behalf of all travelers named in the booking.
Red Planet Adventures acts as an independent contractor for all suppliers who provide your transportation, accommodations, activities, and other services related to your trip. We do not own, operate, or control any suppliers of services such as accommodations, meals, transportation, sightseeing activities, or other goods and services connected with your trip. These suppliers are responsible for their performance. Red Planet Adventures and its representatives are not liable for any negligence, willful act, financial insolvency, or default of any supplier or any third party. A supplier’s goods and services are subject to their own terms and conditions and liability waivers, as well as local laws and regulations.
Prices are based on tariffs, government fees, exchange rates, and supplier rates in effect when our trip itineraries are first published. We reserve the right to impose surcharges due to significant increases in inflation, costs of services, foreign exchange rates, or other factors. Such surcharges may be imposed at any time up to final payment.
We reserve the right to make changes to and correct errors in quoted prices at any time before your trip is confirmed. All discounts and promotional benefits are applied at our sole discretion.
To confirm your travel arrangements, you must provide all requested details at the time of booking, including your full name as per your passport, date of birth, nationality, and any pre-existing medical conditions or allergies. If all requested information is not provided within the specified timeframe, we reserve the right to impose late fees and, if necessary, cancel your booking as per the cancellation policy described in this agreement.
By booking a trip with us, you represent that you do not have any conditions that would create a hazard for you or other travelers or affect other people’s enjoyment of the trip. It is your responsibility to consult your physician regarding any medical conditions prior to booking. You must bring your own medications and inform us of any special needs at the time of booking.
In the event of an emergency or health crisis during the trip, Red Planet Adventures may assist in obtaining medical assistance. The cost of any medical assistance shall be your responsibility. We strongly recommend obtaining sufficient medical and health insurance.
Your booking is not finalized until you receive a confirmation email from us. A contract will exist from the date we issue the confirmation invoice. Final payment of the trip price is due 30 days before the departure date. We reserve the right to treat any reservation that is not fully paid by the due date as a cancellation.
If a trip is sold out, you may add yourself to the waitlist. If a spot becomes available, you will be notified by email and have 24 hours to accept the spot and pay the deposit.
A non-refundable deposit is required before we will review and confirm your booking request. The deposit amount is specified on the trip booking page. If we decide not to approve your booking, your deposit will be refunded in full.
If you choose to pay in installments, you agree to adhere to the following payment schedule:
We are not responsible for any charges levied by third parties or financial institutions related to payment transactions.
By booking a trip with us, you agree that chargebacks are not an appropriate way to avoid our cancellation and refund policy. We will dispute any chargeback request and provide this agreement as proof that you agreed to our terms. If we win any chargeback that you initiate, you agree to reimburse us for our attorney’s fees, time, costs, and expenses.
Cancellation must be communicated by email to info@scandinavianvoyager.com. The cancellation policy is as follows:
Special cancellation rules apply to specific itineraries, which will be listed in the trip notes and booking instructions.
The transportation, accommodations, activities, meals, and drinks provided by Red Planet Adventures are specific to each trip and listed on the trip booking page. Anything not expressly listed as included is the financial responsibility of the traveler.
Optional activities and supplemental charges are specific to each trip. Red Planet Adventures will review and approve requests based on availability. Optional activities and supplementals that are not included in the trip price do not form part of the trip or this contract.
You may be required to sign up for an account to participate in our services. You promise to provide accurate and complete registration information and protect the security of your account and password. You are responsible for any activity associated with your account.
You must carry a valid passport and obtain all required visas, permits, certificates, and other travel documentation. It is your responsibility to ensure compliance with all entry requirements and possession of correct documentation.
Travel insurance is required for all travelers and should be purchased at the time of booking. Your travel insurance must provide coverage against personal accident, death, medical expenses, and emergency evacuation. Proof of travel insurance must be provided before the trip start date.
You agree to abide by the traveler pledge and local laws, respect customs and culture, assess your abilities, and follow the suggestions and advice of the trip leader.
Our staff are not qualified to deliver psychiatric or mental health support. Our programs are not therapeutic and should not be used as part of a mental health treatment regimen.
If you have a complaint about your trip, inform your trip leader or our support team immediately. Any complaints made after the trip must be received via email to info@scandinavianvoyager.com within 15 days of the trip’s end.
The decision of the trip leader is final on all matters affecting the safety or well-being of any person participating in the trip. If you fail to comply with a decision made by a trip leader, you may be directed to leave the trip immediately without a refund.
The sole remedy for any default by Red Planet Adventures shall be the return of the paid trip cost. We shall not be liable for any special, consequential, indirect, incidental, or other damages.
This agreement shall inure to the benefit of and be binding upon Red Planet Adventures and you and your respective heirs, legal and personal representatives, successors, and assigns.
If any provision of this agreement is unenforceable or invalid, such unenforceability or invalidity shall not render the agreement unenforceable or invalid as a whole. The provision will be replaced with one that is valid and enforceable.
You agree that Red Planet Adventures may use any images, photos, videos, or written content you provide or post online, including on social media, for promoting our travel products and services.
All Red Planet Adventures trips, products, bookings, reservations, and terms and conditions are subject to the laws of the Ontario, Canada. All travelers submit to the exclusive jurisdiction of the courts located Ontario, Canada for resolving disputes under these terms and conditions
We reserve the right to update and/or alter these terms and conditions at any time. Any amendments will take effect immediately upon being posted to our website or upon notice to you in writing by email or mail. Your continued use of the services, participation in one of our trips, or use of our website constitutes acceptance of any amendments.
Red Planet Adventures retains the right to refuse service to any traveler or potential client at any time, for any lawful reason, at its sole discretion.
This agreement is the final, complete, and exclusive statement of the parties’ agreement on the matters contained in this agreement. It supersedes all previous negotiations and agreements.
By booking with us, you acknowledge that you have read and understand these terms and conditions, and voluntarily agree to all of its terms and conditions. You understand that you are giving up substantial rights by accepting the terms of this agreement and acknowledge that it has been recommended that you have your attorney review this agreement prior to accepting it.
